QR codes for inventory tracking

Put a QR code on every item, shelf, or piece of equipment. Anyone with a phone can scan it to see what it is, where it belongs, and what to do with it.

Why QR codes work well for inventory

Traditional barcodes only hold an ID number, and reading them means a dedicated scanner or a scanning app. A QR code can be read by the camera app on any modern phone, and it can hold a full URL, so scanning an item can open something useful rather than just returning a number.

QR codes also cope with wear better than a linear barcode. Built-in error correction means a label that is scuffed, partly covered, or printed with a logo in the middle still scans. That matters for labels that live on warehouse shelves, tool cases, or equipment that gets moved around.

The biggest advantage, though, is dynamic QR codes. Because the code points at a short link that you control, you can change where it goes at any time. Reassign an asset, move a spreadsheet, replace a manual, or switch inventory systems, and every label you already printed keeps working.

How to set it up with Hovercode

Make a list of what you want to label
One row per item, location, or piece of equipment. A spreadsheet export from whatever you use today is fine. The bulk QR code generator takes a CSV and creates one code per row, all sharing the same design.

Decide what each scan should open
Each code can point somewhere different. Common choices: a row in a shared spreadsheet, a hosted page with a photo, specs, and the manual, a PDF, or a form so people can check an item out or report a fault from their phone.

Print and stick the labels
Download the codes as PNG, SVG, or PDF and print them on label sheets or with a label printer. Keep some quiet space around each code and test a scan from arm's length before you print hundreds.

Change destinations without relabelling
When an asset moves, gets reassigned, or you switch systems, update the destination in Hovercode and the printed code follows. Scan tracking shows which codes get scanned, when, and from where, which is a quick way to spot items that nobody has touched in months.

What a QR code can and can't do for inventory

Hovercode is the label layer. It generates the codes, manages where they point, hosts item pages and forms, and records scans. That covers a lot of small inventories: a tool room, a hire fleet, a lab, an office's equipment list, a set of demo units.

What it does not do is hold quantities. There is no stock level behind a Hovercode QR code, no stock count, no low-stock alert, and no record of who has an item checked out. If you need those, you want a proper inventory system, and the QR codes should feed into it rather than replace it.

Inventory Scan is a browser-based inventory app that scans QR codes and barcodes with a phone camera, so there is no scanner hardware and nothing to install. Labelling products for sale

If the items are retail products with a GTIN, consider a GS1 Digital Link QR code instead of a plain URL code. It encodes the product's barcode number in the URL, so one code scans at the till and also opens a page on a shopper's phone. You can still retarget it like any other dynamic code.

Generating codes from your own system

If items are created in your own database or ERP, use the Hovercode API to create a dynamic QR code the moment an item is added, store the code's ID against the item, and update its destination whenever the item changes. That keeps the code and the record in sync without anyone touching a CSV.

Frequently asked questions

Should inventory QR codes be static or dynamic?
Dynamic, almost always. Labels are expensive to reprint and re-stick, and what a code should open changes over time. A static code that just encodes an ID number is fine if you are feeding an inventory system that looks the ID up, but a dynamic code can do that and still be redirected later.
QR code or barcode for inventory?
Use QR codes if people will scan with phones, if you want the scan to open something, or if labels take a beating. Use linear barcodes if you have existing scanner hardware that only reads them, or if the items already carry a retail barcode you can reuse. Many inventory apps read both.
What should each code link to?
Whatever the person scanning needs in that moment. For equipment, that is usually the manual, a safety sheet, or a fault-report form. For stock, it is the item's record in your inventory system. For shelves and bins, a page listing what belongs there. You can change your mind later with a dynamic code.
How do I print the labels?
Download the codes as PNG, SVG, or PDF and lay them out on a label sheet template, or send them to a label printer. Keep the code at least 2 cm across for arm's-length scanning, leave a clear margin around it, and print the item name or ID next to it so people can find things without scanning.
Does Hovercode track stock levels or quantities?
No. Hovercode manages the codes, their destinations, hosted pages, forms, and scan history. For quantities, stock counts, and check-in and check-out, use an inventory app such as Inventory Scan and point your codes at it, or feed its label printing directly.
How many codes can I create for free?
Static codes are unlimited on every plan, and the bulk generator makes up to 100 at a time without an account. Dynamic codes, the ones you can retarget later, are limited by plan. See pricing for the current allowances.
